Remote Viewing Sessions
Section titled “Remote Viewing Sessions”A “Remote Viewing” session is our approach to a meeting. We called it this because our intent is not only to get up to speed on tasks and goals, but to allow time to “see” each other and get to connect beyond the transactional aspects of deliveries and feedback.
Session Details
Section titled “Session Details”Is it an obligation to show up? No. You can opt out and request them only when needed.
How long are they? ~30-60 Minutes, but really, depending on your time
What should I prepare?
- What have you been up to
- Awareness and/or notes and feedback regarding latest work done.
Can multiple team members join? Absolutely
Are they recorded? Usually not. Unless you ask or we believe its useful (always with your permission first)
Messaging Platforms
Section titled “Messaging Platforms”What messaging platforms do you support? Any platform you use.
- Slack
- Telegram
How quickly do you respond?
- During working hours, an average of ~5 Minutes.
- On async hours, the time ranges from minutes to hours, depending on our timezones.
Time Zones and Working Hours
Section titled “Time Zones and Working Hours”Our current working hours are 9:00-18:00 PST. As time goes by and our experience global collaborations give us the necessary feedback, we might adapt these times. Getting in sync for deliveries, feedback, calls and remote viewing sessions is key to us, so we will take note.
Are working hours flexible?
- We can extend our schedule by 60min before opening or 60min after closing.
- If you are subscribed to the Reactor energy tier, our schedule can extend for up to 2-hours
Can async-only collaboration work?
- The “Reactor” energy tier supports async collaboration.
- We believe so, as long as communication is clear and steady.
Your suggestions are most welcome.
Checkpoint Cadence
Section titled “Checkpoint Cadence”Default is Tuesday/Friday - can I change this? It can be changed to:
- Monday/Thursday
- Wednesday/Saturday
What if I miss providing feedback on time? We will work on the next most-important task for the next checkpoint. Once your feedback is provided, we will consider whether it can be included in the next checkpoint or if it needs to be added as a new task.
Can I skip a checkpoint? You can skip a checkpoint, however, the monthly cost remains the same
Emergency Support
Section titled “Emergency Support”What if I need urgent support outside working hours? The “Reactor” Energy tier supports emergencies
Is there an emergency contact? Yes.
What’s considered “urgent”? A deadline must be met (crunch time) or an unexpected event with critical consequences arise.
The “Generator” tier DOES NOT support emergencies, however, if helping is within our possibilities and reach, we will do so.
Progress Tracking
Section titled “Progress Tracking”How do you track progress?
Do you use project management tools?
- We are using Trello as our default for project management.
- If you have a tool or system of preference that you’d like us to use instead, we are game.
How do I know what’s in progress? We keep this information visually accessible in our Trello board, and we also include a summary in every checkpoint report doc.
Collaboration Best Practices

- Provide timely responses: Same-day feedback during checkpoint days is encouraged
- Be specific: Clear direction helps us deliver exactly what you need
- Trust the process: Some creative work needs time to develop properly
Feedback Process
Section titled “Feedback Process”- Review checkpoint deliverables carefully
- Provide consolidated feedback rather than piecemeal changes
- Distinguish between minor tweaks (colors, text) and major changes (concept shifts)
- Communicate urgency clearly if deadlines are approaching
Project Management
Section titled “Project Management”- Prioritize tasks: Help us understand what’s most important
- Plan ahead: Having a backlog of ideas prevents downtime
- Stay aligned: Regular check-ins ensure we’re moving in the right direction
- Be flexible: Creative work often requires iteration and adaptation
